The good news is that, while MFPs still have some basic costs and can be harboring hidden fees, the total cost of ownership is considerably lower than the price associated with countless single-feature machines. Still, you always want to know exactly how and why you're spending money on your print environment, simply so you can catch little problems before they become big ones.

So, how can you see these hidden costs? Simple: you just have to know where to look!

  1. Consumables -- You obviously know you're spending money on ink and paper, but do you know how much? Do you know how often extra toner is ordered and what happens to the excess? Small things like this can quickly add up, and if you don't realize it in time, this hidden cost can eat away your budget.
  2. Unnecessary printing -- Sometimes, MFPs are misused. Employees might be printing personal documents, or, in other cases, they might just be printing extra copies or using a physical document when a digital file would have worked just fine.   3. Maintenance -- Although maintenance is a normal part of technology ownership, some maintenance can come with high prices.
